- Provide office administrative support as to assigned business unit (e.g., word processing, proofreading and editing correspondence, large and small documents, mailings, shipment of study files, fax and photocopy documents, assemble study documents, and arrange meetings, etc.)
- Work proacitively for expample can find and improve the new service and the process as well as the new way to reduce the cost to support operations
- Ensure all general office supplies are available or replenished regularly for effective office operations.
- Act as the first point of contact and coordinate/attend to internal users’ requests on related services.
- Provide assistance to other Admin Assistants in teamwork fashion.
- Act as liaison with Administrative/Office Services, coordinating all aspects of internal moves (office/workstation assignments) where necessary
- Ensure company belongings including phone, laptop, security ID/access card are collected back from leavers, related corporate credit card and medical card terminated, and workstation cleaned.
- Coordinate and support internal and external client meetings, interviews including the arrangement of meeting materials, catering and travel arrangements
- Interact with internal and external clients, senior management, and other management, as necessary
- Respond to requests for information concerning office procedures; determine which requests should be handled by the appropriate staff person or another department
- Work with outsourced janitorial team in the housekeeping activities, e.g. cleanliness of facilities, ensure regular and prompt replenishment of pantry supplies, and that the facilities are kept neat and tidy at all times.
- Follow-up on scheduled maintenance for office and equipment with service vendors and ensuring agreed contract fees committed are approved by Regional CRE and FM.
- Assign and prepare workstations for new hires, as well as, see to the printing of name cards, supply of stationery, etc.
- Assist in the general administration of office as assigned by Regional CRE and FM or his/her designate.
- Perform other administrative duties as assigned by management


Min. diploma holder in facilities or administration


- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, etc.)
- Excellent analytical, presentation, oral and written communication skills both Japanese and English
- Must demonstrate strong interpersonal and influencing skills
- Must have the ability to maintain confidentiality of information at all times
Min. 3-5 years work experience in related field.

Relevant skills and work experience in facilities maintenance and administrative services.
